Dearne Accountancy Services Ltd (“we”, “us”, “our”) is the data controller responsible for your personal information. We are an accountancy practice based in South Yorkshire and provide accountancy services to small businesses, sole traders, limited companies, and CIS contractors across Yorkshire.

2. What information we collect
We collect personal information in the following circumstances:
2.1 Enquiry and contact forms
When you submit an enquiry through our website, we collect your name, email address, telephone number, and the content of your message. If you select a service category or describe your business situation, that information is also collected.
2.2 Booking requests
When you book a free health check or consultation through our online booking system, we collect: your name, email address, telephone number, business name, the type of service you are interested in, your preferred meeting format (phone, video, or in person), and your chosen date and time slot.
2.3 Free resource downloads
When you request a free resource (such as our HMRC Deadline Tracker), we collect your name and email address so we can deliver the resource and send occasional relevant accountancy updates. You can unsubscribe at any time using the link in any email we send.
2.4 Cookies and analytics
Our website uses Google Analytics (via Google Tag Manager) to collect anonymised information about how visitors use the site — for example, which pages are visited, how long visitors spend on each page, and where visitors come from. This data does not identify you personally. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.
We do not use advertising cookies, retargeting cookies, or any cookies that track you across other websites.
2.5 Information you provide when becoming a client
If you engage us as a client, we collect additional information necessary to provide accountancy services — including financial records, HMRC correspondence, business documents, and identification information required for anti-money laundering compliance. This processing is covered separately in our client engagement letter and terms of business.
3. How we use your information
We use the information we collect for the following purposes:
- To respond to your enquiry or question
- To arrange and confirm your booking or consultation
- To deliver free resources you have requested
- To send you relevant accountancy news, HMRC updates, and information about our services — only where you have given consent or where we have a legitimate interest to do so, and only for as long as you remain subscribed
- To improve our website and understand how it is being used
- To meet our legal and regulatory obligations as an accountancy practice
We do not use your information for automated decision-making or profiling.
4. Legal basis for processing

6. Who we share your data with
We do not sell, rent, or trade your personal information. We share data only with the following trusted third-party service providers who help us operate this website and our practice:
6.1 Hosting and infrastructure
Vercel Inc. hosts this website on servers located in the European Union. Vercel processes server request logs (including IP addresses) as part of normal hosting operations. Vercel is certified under the EU-US Data Privacy Framework.
6.2 Content management
Sanity.io provides our content management system. Content such as blog posts and service descriptions is stored on Sanity servers. No personal data from website visitors is stored in Sanity.
6.3 Email delivery
Resend is used to send transactional emails — including booking confirmations, enquiry acknowledgements, and resource downloads. Your name and email address are transmitted to Resend solely for the purpose of delivering these emails. Resend stores EU-region data within the EU.
6.4 Video meetings
Zoom Video Communicationsis used when you book a video consultation. If you choose a video meeting, your name and email are used to create a Zoom meeting link. Zoom's privacy policy applies to data processed through their platform. We do not record meetings without your prior consent.
6.5 Analytics
Google Analytics(via Google Tag Manager) collects anonymised website usage data. Google may transfer this data to servers in the United States. Where this occurs, Google relies on Standard Contractual Clauses approved by the UK Information Commissioner's Office. The data collected is anonymised and cannot be used to identify you personally.
6.6 Legal and regulatory
We may disclose your information if required to do so by law, regulation, court order, or the lawful request of a competent authority (such as HMRC or the police). We will always seek to limit such disclosure to the minimum necessary.
7. International data transfers
The majority of your data is stored and processed within the United Kingdom or the European Economic Area. Where data is transferred outside the UK (for example, to Google in the United States), we ensure appropriate safeguards are in place — such as Standard Contractual Clauses or reliance on an adequacy decision — in accordance with UK GDPR Chapter V.
8. Your rights under UK GDPR
You have the following rights in relation to your personal data. To exercise any of them, contact us using the details in Section 10. We will respond within one calendar month.
- Right of access.You can request a copy of the personal data we hold about you (a “subject access request”).
- Right to rectification. You can ask us to correct inaccurate or incomplete information.
- Right to erasure. You can ask us to delete your personal data where there is no legitimate reason for us to continue holding it (subject to our legal retention obligations).
- Right to restrict processing. You can ask us to pause processing of your data in certain circumstances — for example, if you are contesting its accuracy.
- Right to data portability. Where processing is based on your consent or a contract, you can request a copy of your data in a commonly used, machine-readable format.
- Right to object. You can object to processing based on legitimate interests, including direct marketing. Where you object to direct marketing, we will stop immediately.
- Right to withdraw consent. Where we process your data on the basis of consent (such as marketing emails), you can withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing before the withdrawal.
These rights are not absolute and may be subject to exemptions under applicable law. We will explain if any exemption applies when you make a request.
